Terms and Conditions

When booking a tour with us, the customer (you and those that are included in the same booking) automatically accept the terms and conditions written below.

Tour cancellation and Refunds

If you wish to cancel prior to the tour:

Group tours: You can cancel your booking and get a full refund (minus handling fee) up to 24 hours prior to the tour. After that time in case of your cancellation or no-show at the pickup point at the tour start time (max. 15 minutes delay), no refund will be given.

Private tours: You can cancel your booking and get a full refund (minus handling fee) up to 48 hours prior to the tour. You can receive 50% refund if you cancel less than 48 hours but more than 24 hours prior to the tour. After that time in case of your cancellation or no-show at the pickup point at the tour start time (max. 30 minutes delay, unless you let us know in advance the reason of delay - cancelled/delayed flight etc.), no refund will be given.

Handling fee (5% per booking) is necessary for us to be able to cover the costs of financial operations of our partners while offering our tours for a reasonable price.

We reserve the right to cancel a tour at any time in such cases as:

-The likelihood of seeing the Northern lights are extremely low. (When we have availability, rescheduling might be a possible option too.)
-Conditions are too dangerous to drive out on the tour. Safety is a priority for us.
-Such unforeseen circumstances as guide’s sickness or mechanical issues with the vehicle.

In case of cancellation from Boreal Quest, full refund is issued to the participants.

In case of any changes made to the tour, we will email, call or send a text to the contact info provided. Please be aware on the day of your tour, as we will not be held responsible for no correspondence.

The Northern Lights are a natural phenomenon. Therefore no one can guarantee you seeing them.
Although we really wish we could, but we cannot control neither the weather conditions nor the solar activity that causes the Northern Lights activity.
We possess great knowledge of the area and we use several tools that help us to find clear skies. Still, taking our chances with nature is the best we can do.
There are no refunds or additional free trips in case of not seeing the Northern Lights on our tour.

Refunds are sent back to the card that was originally used for the booking. When refund is issued, depending on your bank and the processing time of our payment partner, it takes up to 5 to 10 business days to show up after we sent it.

Liability

We recommend everyone to have travel insurance.

Boreal Quest will not be held responsible for any personal events or travel and transportation schedule changes or delayed or cancelled flights etc., that may result in the cancellation of a booking.

You take full responsibility for your own health during our tours.

Please contact us prior to the tour about any food allergies.

We will not be held responsible for any loss or damage in case of a personal sickness or injury or an accident.

We will not be held responsible for any inconveniences caused by inappropriate clothing. Please dress suitably and responsibly for the conditions of the arctic. Although we do provide you with such equipment as thermal suits, feet and hand warmers (on the Northern Lights tours), dressing appropriately for the conditions is vital.

A general health/fitness level is required to participate on our tours, as we often walk through rough terrain, in deep snow, and in slippery/icy conditions.

Please inform us about any medical conditions that you might have, that way we can offer you better help in case of emergency.

Photographs taken on our tours

You will receive our photos taken on your tour in JPEG format in web size/medium resolution with our watermark for free. (There is a possibility to purchase the high resolution version(s) of the photographs without watermark, if you would like to print them for personal use. In that case - contact us at info@borealquest.com with the tour’s date and filenames.)

We normally send our photographs within 48 hours after the tour to your e-mails. (In case of any unforeseen events, we reserve the right to have further delay sending our photographs.)

If you decide to bring your own camera equipment on tour, you are responsible for it.

Tripods can be requested for the cameras.

We hold the rights to use any of our photographs taken on the tours for promotional purposes.
If you do not wish us to use any photos of you, please inform us. 

Those travelling with children, please read below:

By Norwegian law, children under 135cm/35 inches of height must be transported in a specific booster seat.

Therefore on the group tours we cannot accept children under 12 years old. If they are under 12 years old (or shorter than 135cm/35inches of height), PRIVATE tour can be requested.

Please note that we are not able to provide thermal suits for children. The smallest size we can provide is Adult XS. It is your own responsibility as a parent to dress your child/children appropriately for the conditions.
